LIS Alma/PrimoVE Internal Guide: Fulfillment: Checkout

Affiliated Institution Patron Checkout

Fulfillment > Manage Patron Services

Check the box for: Find user in other institution, then look the user up by their Institution barcode/ID number, or the patron's name.

Checkout Missing or Illegible Barcode

Fulfillment > Manage Patron Services

Pull up the patron’s record: scan, name, ID#

Use the list icon to search for items with missing or illegible barcodes:

See library, location, process type:

Current item status:

 

See if the item is currently on order:

The scan field is populated with the item barcode and click ok:

Now the item is checked out to the patron.

If you need additional information about an item, use the quick search in the persistent search box:

In each record in the search results, you can open an options menu:

Options include:

Click other details:

To view fulfillment information about the item, such as last loan date and any current requests.

Scan a Barcode, Error: Item Not Found

Fulfillment > Manage Patron Services

Look up patron

Scan item barcode, see below error message: Item Not Found

This means there is no record for this item in Alma

Physical Inventory Operator role and Circ Desk Role will allow you to: Create an Item (This will create an item on the fly)

Select New, to create a new bibliographic record to which the new item record will be attached.

Or

Select Existing, to create an item for an existing bibliographic record.

Selecting Existing (see page 16 to Select New)

Click Choose

If you select existing, enter the title field or click the list to conduct an All titles repository search:

Select the bibliographic record and click save.

Enter the library and location of the item:

The item will be attached to the existing holdings record – you cannot create a new holding record in this scenario.

Item Information, like description, item policy, material type, and public note can all be added, but are not mandatory.

Click save when finished:

The new item record is created, and the new item is checked out to the patron:

Look up patron

Scan item barcode, see below error message: Item Not Found

This means there is no record for this item in Alma

Select New, to create a new bibliographic record to which the new item record will be attached.

Select the Citation Type:

Select: Choose

A simple cataloging template opens with the following mandatory fields: Title, Barcode, and Library

Be sure to select “Institution” for Placement of new record.

If the box is checked, the item will be “Suppressed from Discovery” in Primo. Meaning patrons cannot see the item. 

Click Save.

Now a new bibliographic record has been created, with a new holdings and item record attached.

The item is checked out to the patron, and a new work order is created, to route it to technical services at check-in. 

Patron Check out

To look up a patron in Alma, navigate to:

Fulfillment > Manage Patron Services

Patron records can be pulled up 3 ways:

  • Scan their ID card barcode
  • Look them up by name
  • Look them up by ID #

Patron records default open to the Loans tab:

To check out materials, enter/scan item barcodes into the field below:
